Did you know that most Xero price plans include free access to HubDoc? So what is HubDoc and how can you use it to enhance your bookkeeping? HubDoc is a data extraction and processing tool. In other words you can send your bills and expenses to HubDoc and it should be able to read the information on the bill, save the bill, and push the information through to Xero for bank reconciliation. So how do you use it? Read on for our quick guide on how to send documents to Xero using HubDoc.
Linking HubDoc to Xero
The first step is to link your Xero account to HubDoc. This is really easy. Simply log into Xero and go to the square icon of nine dots on the top right of your screen. Here you should see HubDoc as one of the apps recommended for you. Click on it and then choose to sign into HubDoc using your Xero login. And that’s it, you should now have your HubDoc account linked to your Xero account. In the future, HubDoc will show at the top of the list when you click on the square icon of nine dots.
Send Documents to HubDoc
Now you have your HubDoc and Xero accounts linked, you are ready to send documents to HubDoc for processing. There are three ways to do this:
- 1) You can email the document
- 2) You can upload the document directly on the HubDoc website
- 3) You can scan the document using the HubDoc app
These methods are all fairly straightforward and once you have a sent a document to HubDoc you can then review it and publish it to Xero. If you want, you can automate all the steps so certain supplier bills get published straight through to Xero.
Tip: Go to the setting section in HubDoc and then to Organisation. Here you can check and edit the email address that HubDoc uses. Change it to something easier to remember. Also, check the box that says create documents from the body of the email. This means even if the bill is in the body of the email without an attachment, HubDoc will still be able to read it.
